How to Choose the Right A4 Barcode Label Size
Choosing the right barcode label size is important because the label must be large enough for the barcode to print clearly and scan reliably, while still fitting comfortably on the product, box, shelf or packaging.
The best barcode label size depends on:
- What you are labelling
- The type of barcode
- How much additional information you need
- The available surface area
- Your printer resolution and print quality
- How close or far away the barcode will be scanned
A good barcode label should be easy to print, easy to read and easy to scan.
1. Start With What You Are Labelling
Different applications need different label sizes.

For most barcode applications, rectangular labels are the most practical choice.
2. Don't Choose by UP Number Alone
The UP number tells you how many labels are on one A4 sheet.
For example:
- 8UP = 8 labels per sheet
- 21UP = 21 labels per sheet
- 30UP = 30 labels per sheet
- 48UP = 48 labels per sheet
- 65UP = 65 labels per sheet
- 84UP = 84 labels per sheet
Generally:
Lower UP → larger individual label
Higher UP → smaller individual label
However, for barcode labels, the actual millimetre dimensions are more important than the UP number.
Two different 30UP layouts, for example, may have different width and height.
Always check the exact label dimensions before ordering.
3. Small Barcode Labels
Smaller labels are suitable when the barcode is the main information printed on the label.
They can be used for:
- SKU labels
- Small retail products
- Product identification
- Price labels
- Inventory references
- Small components
- Asset identification
Higher-UP A4 layouts may be suitable, such as:
30UP, 33UP, 36UP, 40UP, 45UP, 48UP, 55UP, 65UP or 84UP
The correct choice depends on the exact dimensions and the barcode being printed.
Do not choose a very small label if it forces you to reduce the barcode excessively.
4. Medium Barcode Labels
Medium labels provide room for both a barcode and additional information.
They work well for:
- Product name + barcode
- SKU + barcode
- Price + barcode
- Warehouse identification
- Stock labels
- Packaging identification
Layouts such as:
18UP, 20UP, 21UP, 24UP, 27UP or 30UP
can be useful starting points.
A medium label gives you more flexibility if you want to print:

5. Larger Barcode Labels
Larger labels are useful when the barcode needs to be highly visible or scanned from further away.
They may be suitable for:
- Cartons
- Warehouse shelves
- Storage bins
- Large product packaging
- Pallets
- Dispatch identification
Consider lower-UP layouts such as:
4UP, 6UP, 8UP, 10UP, 12UP or 14UP
depending on how much information needs to fit.
Larger labels can also include:
- Product description
- SKU
- Barcode
- Quantity
- Batch number
- Location
- Handling information
6. Leave Clear Space Around the Barcode
A barcode should not be crowded by text, borders, logos or other graphics.
Leave clear space around both sides of the barcode so the scanner can recognise where the barcode begins and ends.
Avoid placing:
- Text too close to the bars
- Decorative borders around the barcode
- Logos over the barcode
- Other graphics immediately beside it
More space is usually safer than trying to squeeze the barcode into the smallest possible area.
7. Never Stretch or Distort a Barcode
When placing a barcode into your label template, don't stretch it simply to make it fit.
Distorting the barcode can affect scanning.
If the barcode does not fit comfortably:
Choose a larger label rather than forcing the barcode into a smaller space.
This is especially important for retail and warehouse barcodes that must scan consistently.
8. Barcode Width Is Particularly Important
Most common linear barcodes are wider than they are tall.
For this reason, wide rectangular labels are often more suitable than narrow or square labels.
The label should provide enough horizontal room for:
- The full barcode
- Clear space on both sides
- Human-readable numbers if required
This is why rectangular A4 labels are normally the first choice for barcode printing.
9. Product Barcode Labels
For products, you may need to include more than the barcode.
For example:

A medium rectangular label is normally easier to design than a very small barcode-only label.
If the package already has branding and product information, a smaller separate barcode label may be sufficient.
10. Retail Barcode Labels
For retail products, barcode readability is particularly important.
The barcode may need to work with:
- Point-of-sale scanners
- Warehouse scanners
- Inventory systems
- Retail distribution systems
If you are using an official GS1 barcode such as EAN-13, use GS1-compliant barcode artwork and follow the required barcode dimensions and clear-space rules.
Do not reduce an official retail barcode simply because you want to fit more labels onto an A4 sheet.
11. Warehouse Barcode Labels
Warehouse labels often need to be larger than retail product barcodes.
They may be used on:
- Shelves
- Racking
- Bins
- Cartons
- Storage locations
- Inventory containers
A larger label can improve visibility and scanning speed.
For warehouse applications, allow enough room for both:

12. Barcode Labels for Small Products
For very small products, available space can be limited.
Consider:
- Using a smaller rectangular label
- Keeping additional text to a minimum
- Using a separate barcode label
- Placing the barcode on the outer packaging rather than directly on the product
Do not reduce the barcode until it becomes difficult to scan.
13. Barcode + Product Information
Sometimes one medium label is better than two small labels.

A larger label allows the information to remain readable and gives the design more breathing room.
If the label becomes crowded, consider:
Front label → branding
Back label → barcode + product information
14. Print Quality Matters
Even the correct label size can fail if the barcode is printed poorly.
For best results:
- Use a clean printer
- Use the correct print settings
- Make sure toner or ink coverage is strong
- Avoid blurred barcode edges
- Avoid very low-resolution barcode images
- Print at the correct scale
The individual bars should look sharp and clearly separated.
15. Test Before Printing a Full Batch
Before printing hundreds of barcode labels:
- Print one A4 test sheet.
- Check the alignment.
- Check the barcode size.
- Scan several labels.
- Test from different positions if relevant.
- Check that text remains readable.
- Only then print the full batch.
A simple test can prevent a large quantity of unusable barcode labels.
16. Inkjet or Laser?
Check that the A4 label material is compatible with your printer.
Barcode clarity is especially important, so choose the printer/material combination that produces sharp, clean output.
Your product specification should clearly state whether the labels are suitable for:
- Laser
- Inkjet
- Copier
- Multipurpose printing
17. Barcode Label or Thermal Label?
A4 sheet labels are useful when:
- Printing batches of labels
- Using an office laser or inkjet printer
- Printing different products at the same time
- Barcode volume is moderate
Thermal roll labels may be more suitable when:

- Printing one label at a time
